Print View Help
How to import, sort, filter, and generate PDFs for printing Avery sticker sheets.
Required spreadsheet headers
Your file should include these column headers (you can map columns after import):
- Student Code
- First Name
- Surname
- Homegroup (optional)
- Year Level (optional)
- Date of Birth
- House/Team
- Gender
Supported barcode types
- DataMatrix (preferred) — best option if your scanner supports 2D barcodes.
- QR — also 2D, widely supported.
- Aztec — compact 2D option on the 30-up layout only.
- PDF417 — also 2D, available on the 30-up layout only.
- Code 128 — 1D (linear), works with basic scanners.
- MicroQR — compact 2D option on the 30-up layout only.
Barcode formats other than Data Matrix and Code 128 are for general interest experimentation rather than race day use. You can also
download a 30-up barcode type sampler PDF
to see how each barcode style prints.
1D vs 2D barcode scanning
- Code 128 is a 1D (linear) barcode and works with most basic barcode scanners.
- QR, MicroQR, DataMatrix, PDF417, and Aztec are 2D barcodes and require a 2D-capable scanner.
Suggested (not mandatory) tested, inexpensive scanner:
InkStation 2D Bluetooth Wireless Barcode/QR Code Scanner (IS5700DB)
.
Supported Avery sheet layouts (A4)
- Avery L7162 — 16-up (2×8) 99.1×33.9mm
- Avery L7158 — 30-up (3×10) 64×26.7mm
- Avery L7651 — 65-up (5×13) 38.1×21.2mm
- Avery L7656 — 84-up (4×21) 46×11.1mm

Import a spreadsheet on the home page (Excel
.xlsxor CSV.csv). For Google Sheets, use File → Download and export as Excel (recommended) or CSV. You can also Download a Sample File for Import or start with a Blank CSV Template . If your file uses the standard headers, the system can skip the mapping step automatically. - Map Columns so the system knows which spreadsheet columns are First name, Surname, Student code, Homegroup (optional), House/Team, DOB, Gender (and Year Level if you want to use it).
- Choose Settings (barcode type, Avery layout, Age/Level content (Age Group vs Year Level), Age Group bucketing, sort order). Age/Level content and Age Group options can only be changed on the Settings screen (not on Print View).
-
Use Print View to preview the full sticker sheet and adjust:
- Sort order (Sort 1–5). Sorting applies automatically.
- Filters (Homegroup (optional) / House/Team / Age Group / Gender). The preview updates live.
- X/Y nudges (mm) if your printer alignment is slightly off.
- PDF page breaks: if enabled, the PDF starts a new page whenever Sort 1 changes (this can leave unused blank labels at the end of a page).
- Calibration: if your printed stickers don’t align perfectly with the Avery sheet, use the Calibration PDF button on the Settings screen (or on Print View). Print it at 100% (Actual size) and overlay it on a real sheet to confirm your printer alignment before printing stickers.
- PDF actions: Download PDF or Open PDF to Print (in-browser). Both respect the current filters.
-
Age Group options:
- Standard: 13YR–17YR and 20YR (18/19 are grouped into 20YR).
- Expanded: 13YR–17YR, 18YR, 19YR, 20YR.
- Printing tip: in your PDF viewer/print dialog, disable any Scale, Fit, or Shrink to printable area options and print at 100% (Actual size).
-
Date of Birth formats: the system can parse many common formats (including Excel dates/serials, ISO
YYYY-MM-DD, and day-first formats like31/12/2012). Two-digit years are supported (e.g.31/12/13), but for best results use an unambiguous format like25-Jan-2013or2013-01-25. - Browser session: your imported data is linked to your browser session on your device and is not visible to users on other computers.
- Privacy: after generating your PDFs, choose Clear Data from the Menu. This will remove your imported student data from this browser session, and delete it from the server.
